Payments, invoices, returns and complaints
As standard, you pay in advance by bank transfer. Payments are matched by the system, so a correct payment reference speeds up shipping. You download invoices in the B2B panel.
Prepayment by bank transfer, matched automatically
You pay by bank transfer to the Kamai.pl Sp. z o.o. account shown on the pro forma invoice. The system connects to the bank and matches booked payments by itself. When the reference is correct, the order goes straight to processing.
We have accounts in PLN and EUR. The same rules apply to orders in euro.
You choose the payment method when ordering, from those assigned to your account.
What to use as the payment reference
| Situation | Payment reference |
|---|---|
| You do not have trade credit | the ERP order number (ZO/number/year), shown in the order details under „Twoje zamówienia” (Your orders) |
| You have trade credit | the collective invoice number; orders attached to the invoice are settled automatically |
Payments the system cannot match are settled by hand by our accountant twice a day. Processing then takes on average 48 instead of 24 hours.
What happens when a payment is overdue
The system detects an overdue amount and holds the shipping of further orders. You receive an e‑mail reminder before and after the due date.
You find invoices in the B2B panel
- For each order, the system first issues a pro forma invoice, and a VAT invoice once the payment is settled.
- You download sales invoices, credit notes and pro forma invoices in the „Dokumenty i płatności” (Documents and payments) tab.
- We issue collective invoices. You agree how often by e‑mail: biuro@dropcom.eu.
- We send invoices and credit notes electronically (your consent is part of the agreement).

Trade credit and deferred payment
Trade credit is the amount up to which you can order without prepayment. Deferred payment is the time you have to pay for an order. You can have both.
Conditions:
- no overdue payments,
- at least 4 months of working with Dropcom.eu,
- invoices paid regularly,
- your company has been trading for at least a year.
Send your request to biuro@dropcom.eu. Say what you are applying for (trade credit, deferred payment or both) and why. If you are asking for an exception to the conditions, add it in the notes. Our accounts department assesses the request based on your history with us.
Returns from B2B partners
We accept returns from B2B partners on commercial terms. A return needs our approval first: do not send goods back without agreeing it.
Goods for return must be:
- in full working order, unused, clean and free of defects,
- in the original, undamaged manufacturer’s packaging,
- ready to be sold as new.
How to report a return:
- Within 14 days, write to biuro@dropcom.eu.
- Give the order or invoice number, the product name, the quantity returned and the reason for the return.
- Wait for our confirmation by e‑mail before you send the goods back.
We charge a fee of PLN 15.50 net for taking goods back into stock.
Selling to consumers? Your customers have the right to withdraw from a distance contract. These rights differ from those of businesses, so include them in your own terms.
Product complaints
We accept complaints about:
- manufacturing defects (every product is brand new and covered by the manufacturer’s warranty),
- goods that do not match the order,
- transport damage reported on delivery and documented in a damage report.
We do not accept:
- mechanical damage caused by the user or by the courier company (report that to the carrier).
With your complaint, include:
- a description of the problem and photos,
- the order or invoice number,
- the product name and EAN.
In dropshipping, you are responsible to the end customer. Our terms and conditions exclude statutory warranty between businesses.
